How to make a graph or chart in Microsoft Word

You can make graphs and charts in Microsoft Word to provide visual information to papers in addition to text documents and image insertions.

In Microsoft Word, there are two choices for making charts and graphs.
For information on how to utilize each option, see below.

Create a graph or chart directly in Microsoft Word

Similar to Microsoft Excel, Microsoft Word allows you to make charts and graphs and include them in your text.
The procedures listed below can be used to build and insert a chart or graph into Microsoft Word.

  1. Start up Microsoft Word.
  2. Click the Insert tab on the ribbon bar at the top.
  3. Select the Graphic option under the Illustrations section.
  4. Choose the sort of chart or graph you want to create when the Insert Chart box pops up, and then click Ok.
  5. The selected graph or chart type is added to the text in a rudimentary form along with some example data.
    Also opened is a Chart in Microsoft Word that resembles an Excel spreadsheet.
    Add, delete, or change data rows and columns in the spreadsheet window to include the information and values that your chart will show.
  6. When you alter the columns, rows, and values in the spreadsheet window, Microsoft Word’s graph or chart instantly adjusts to reflect the new or modified data.
  7. Close the table window when you are finished making changes to the chart.

If you need to change the chart data after closing the spreadsheet window, right-click on the chart and choose Edit Data to reopen the spreadsheet window.

Create a chart or graph in Microsoft Excel and copy it to Microsoft Word

When making charts or graphs, Microsoft Excel offers greater capability and data processing options than Microsoft Word.
The instructions below should be followed if you need to construct a chart or graph using Excel’s expanded features and then insert it into a Microsoft Word document.

  1. Open Microsoft Word and Excel.
  2. Use Excel to create a graph or chart.
  3. Select the full chart in Excel once the graph or chart has been constructed and is prepared to be included in a Word document.
  4. A Copy can be chosen by performing a right-click on the graph or chart.
    To copy a graph or chart, you may also use your keyboard’s Ctrl+C shortcut.
  5. Put the mouse pointer where you wish to put a graph or chart in the Word document.
  6. Put the graph or chart into the document by choosing Paste from the right-click menu.
    To paste a graph or chart, you may also use your keyboard’s Ctrl+V shortcut.
