How to insert a page number in Microsoft Excel

Page numbers may be useful while dealing with spreadsheets created in Microsoft Excel, especially if they span several pages.
Depending on your option, you can add a page number to a spreadsheet’s header or footer.

Inserting a page number

  1. Click the Ribbon’s Insert tab in the Excel spreadsheet.
  2. Select Header & Footer from the Text section.
  3. If it hasn’t already, the spreadsheet switches to the Page Layout view.
    By default, the header is where the text cursor is located.
    Press Esc, go to the bottom of the page, then click on the Add footer area to add a page number to the footer.
  4. If it isn’t already chosen, click the Header & Footer tab on the Ribbon.
  5. Click the Page Number option in the Header & Footer Elements section of the Ribbon when the text cursor is in the header or footer.
    The &[Page] text, which is an Excel function for the page number, is put to the header or footer.
  6. Add a space after &[Page], type the word of, add another space, and then select the Number of Pages option in the Ribbon to show the entire number of pages following the page number.
    The Excel function for showing the total number of pages in the spreadsheet is added, and it is denoted by the string &[Pages].
  7. Add any extra text you want to the header or footer, as appropriate.
    For instance, you might display “Page 1 of 7” by adding a Page word before the page number.

View the page numbers

  1. Click the View tab on the Excel Ribbon.
  2. Click the Page Layout button under the Workbook Views section.
  3. Only the Page Layout view shows the page numbers.

Edit the page number details

  1. Click the View tab on the Excel Ribbon.
  2. Click the Page Layout button under the Workbook Views section.
  3. Depending on where the page number information is set, click in either the header or footer.
    Enter or modify the text as necessary.
